How we verify

Evidence: Described by posterThe person describes what happened in words, without screenshots or video.

FailureThe source says the agent did not get the job done.

What went wrong: The to-do list grew too long to use, so the poster stopped reading it and turned it off.

Outcome

Claude Cowork summarized the poster's email into a to-do list, but the list grew long and unmanageable, so the poster stopped reading it and turned it off as a waste of tokens.

Here's a task I'd like your help with. Read it all the way through before you start.

Goal: Turn my email into a short daily to-do list I'll actually use.

Check with me first: Which inbox and how many days back, and how many tasks a day can I realistically handle?

What I'll give you:
- Inbox access (I'll sign in myself)
- How far back to look ([N] days)
- My daily limit (e.g. 5 tasks)

Rules:
- Only include emails that need me to do something. Skip newsletters, receipts and FYIs.
- Limit the list to my daily number. Put the rest in a short 'later' section.
- Give each task one line: what to do, who it's for and the deadline if there is one.
- Merge duplicates and follow-ups into one task.
- Don't reply to, delete, archive or label any email.

Output: Today's top tasks (up to my limit), a short 'later' list, and the email each task came from.

If anything here is unclear or missing, ask me instead of guessing.

You'll know it worked when: the list fits on one screen and every item is something I actually need to do.

Here's a task I'd like your help with. Read it all the way through before you start.

Goal: Turn my inbox into a short daily to-do list I'll actually use.

Quick check first: tell me if anything below is missing or unclear.

Inputs (fill in or confirm):
- Inbox (I sign in)
- Days to look back
- Daily task limit (e.g. 5)
- Senders who always matter

Rules:
- Include only emails that need an action from me; ignore newsletters and FYIs.
- Rank by deadline and importance; cap the list at my daily limit.
- Merge related emails into one task.
- Write each task as a verb + object + deadline, one line.

What went wrong before, and how to avoid it:
- Last time the list grew too long to use: enforce the daily cap and push the rest to 'later'.
- Review usefulness weekly and tighten rules if I skip tasks.

If you get stuck: If more tasks qualify than the limit, put the rest in a 'later' section of no more than 5 lines. If a login, CAPTCHA or two-step code appears, stop and ask me to handle it; never guess or store passwords.

Verify before you finish: Check no task appears twice and each links to its email.

Output: A daily list of at most [N] tasks with links, plus a short 'later' list.

Done when: I read the list every day because it's short.

  • Sort a week of unread email into reply, money and clutter with GeminiEvidence: Article or interviewBeginner-friendly

Android Police's Akshay Bhalla, facing thousands of unread emails, set up a Gemini scheduled action that summarizes the last seven days of unread Gmail into three groups: threads needing his reply, financial emails like invoices and receipts, and low-priority newsletters and alerts. He says the near-daily report puts the few emails needing a reply front and center; with a second prompt to purge clutter, he says he cleaned 200 unread threads in an hour.

  • Tom's Guide's John Brandon found Gemini in Gmail accurate for composing emails and summarizing threads, but its inbox search and clean-up prompts were unreliable: it mostly searched recent mail, listed newsletters as his most-discussed topics, refused to find the largest attachments, and found only four emails with shipping labels out of several dozen. 'Show me all emails with an attachment from May 2024' did work, and he says clean-up worked about 25% of the time.
